Oxford University Press Text Capture Instructions

Version information (Case Law)

Version information includes the original date, the date of substantial changes, the version number, and version date.

/case/caseMeta/versionInfo

Capture version dates in the ISO 8601 format date that you first submitted the approved XML to OUP in the origDate element. This date never changes.

versionInfo/versionDate
Capture the date on which you submit the XML file to OUP after conversion in the versionDate element. OUP use the Version Date field on the headnote for internal tracking, do not capture the headnote Version Date field in the XML.

versionInfo/sbschDate

If this is the first version, give the subsequent change date, sbschDate, the same value as the versionDate and the origDate.

In subsequent versions, change the value of the sbschDate in the following circumstances only:

  • You are adding a full headnote (i.e. the previous version had only a skeleton headnote); when this happens, the OUP supply the headnote document with a qualifier in the file name.
  • You are asked to add text to the "Analysis" field of the headnote template
  • You are adding a translation
  • Text is being added to the "Subsequent stages" field of the template
  • OUP requests a change to the value

In each case (except the last), change the report status..

versionInfo/versionNum

On initial capture the versionNum is 1 and the versionDate and sbschDate should match the origDate.

When changes are made to either the headnote or decision section of the law report, e.g. analysis updated, or decision added, change the version number and the date of the amendment in the versionDate element.
